1、進口許可證和出口許可證：
某些國家對特定商品的進口和出口需要許可證。出口商和進口商需要了解并遵守相關規定。
出口許可證是由國家對外經貿行政管理部門代表國家統一簽發的、批準某項商品出口的具有法律效力的證明文件，也是海關查驗放行出口貨物和銀行辦理結匯的依據。根據國家規定，凡是國家宣布實行出口許可證管理的商品，不管任何單位或個人，也不分任何貿易方式（對外加工裝配方式，按有關規定辦理），出口前均須申領出口許可證；非外貿經營單位或個人運往國外的貨物，不論該商品是否實行出口許可證管理，價值在人民幣1000元以上的，一律須申領出口許可證；屬于個人隨身攜帶出境或郵寄出境的商品，除符合海關規定自用、合理數量范圍外，也都應申領出口許可證。
2、信用證：
信用證是由進口商的銀行開具的，承諾在符合合同條件的情況下支付貨款。這是一種重要的付款保障機制。
以信用證為結算式的，在信用證開出并抵達出口商（信用證受益人）的銀行后，銀行會做通知，并交信用證連同通知轉交出口商。
3、合同：
如系賣方制作，可稱為銷售確認書(salesconfirmation)，買方出具則可稱為采購確認(purchasedconfirmation)。
除了與國內銷售合同相同的要素如買賣雙方名址，簽訂時間、地點、交易貨物品名、付款方式、違約責任以外，還可以根據不同產品的特點附加條款。此外，正式的外貿合同，往往還有更詳細的約定，比如信用證條件下的信用證開證要求，對各種不可抗力的規定等細則。
對于容易在裝卸和儲運過程中發生短缺的散貨如礦產、糧農副產品等，合同中往往還會附加“溢短裝”條款，即允許在合同總數量和金額的基礎上，有若干幅度的差異，最后按照實際交貨量來結算。
比如“5%moreorlessallowed”，即允許多交或少交5%。
理論上，合同應該“一式兩份，雙方各執一份經簽章的正本為憑”，可在外貿實務中不大苛求照搬執行，一般的傳真件也就行了，作為備忘錄。更多的還是依靠商業信用，以及預付款、信用證等實質的把控手段。
合同本身反倒顯得不重要了。也正因為如此，一些國家的客戶甚至制作固定合同，并留下“信用證開出后生效”等條款，進一步淡化合同的約束力，到處散發作為詢價工具。
碰到這樣的合同，不必當真，預留時間，等到信用證收到再有所行動不遲。
4、發票：
出口發票是一份詳細列出了商品名稱、數量、價格和總值的文件，用于結算和海關申報。它通常需要包括出口商和進口商的信息。
發票常見種類：商業發票、海關發票、領事發票（主要用于拉美國家）、形式發票（不具有法律效力）、廠商發票、聯合發票（主要用于港澳地區出口）。
商業發票(commerciallnvoice)
商業發票是國際貿易中非常重要的文件，對于海關申報和付款都至關重要。它有助于確保交易的透明性和合法性，并為進口國的海關提供了必要的信息，以便對貨物進行監管和審批。此外，商業發票也是進口商和出口商之間的合同文件，規定了雙方之間的權利和責任。
發票必須注明一個發票號碼（自己擬定），出票時間。可以按照需要一式幾份，由若干正本和副本組成的，應注明“original”、“copy”字樣。
發票的末端通常有e.o.e.字樣，意為“有錯當查”，即此份發票如有錯漏允許更改。
形式發票(proformainvoice)
形式發票的用處一是類似于單方面合同，作為報價和確定交易的工具。一些國家的客戶喜歡“確認形式發票”的形式作為合同。
可以根據需要在空白處以“remark”加注的形式增加條款，比如交貨期等等，以進一步落實交易。此外，對于那些需要進口許可或外匯使用額度的交易，客戶也需要形式發票來做前期申請。
在采用國際快遞寄送貨物的時候，也需要附上形式發票，作為快遞公司統一報關計用。
5、裝箱單：
裝箱單詳細列出了每個貨物包裝箱的內容，包括商品描述、數量和包裝方式。這有助于海關檢查和貨物跟蹤。
6、運輸單據：
這包括提單（海運）、空運單（空運）、貨運單（陸運）等。它們證明貨物的所有權和貨物的裝運和交付。
7、檢驗證書：
在一些國際貿易中，特別是涉及食品、藥品和化工產品等高風險商品時，質檢證書是必需的，以保證買賣雙方的利益和消費者的安全。

合同本身反倒顯得不重要了。也正因為如此，一些國家的客戶甚至制作固定合同，并留下“信用證開出后生效”等條款，進一步淡化合同的約束力，到處散發作為詢價工具。
碰到這樣的合同，不必當真，預留時間，等到信用證收到再有所行動不遲。
4、發票：
出口發票是一份詳細列出了商品名稱、數量、價格和總值的文件，用于結算和海關申報。它通常需要包括出口商和進口商的信息。
發票常見種類：商業發票、海關發票、領事發票（主要用于拉美國家）、形式發票（不具有法律效力）、廠商發票、聯合發票（主要用于港澳地區出口）。
商業發票(commerciallnvoice)
商業發票是國際貿易中非常重要的文件，對于海關申報和付款都至關重要。它有助于確保交易的透明性和合法性，并為進口國的海關提供了必要的信息，以便對貨物進行監管和審批。此外，商業發票也是進口商和出口商之間的合同文件，規定了雙方之間的權利和責任。
發票必須注明一個發票號碼（自己擬定），出票時間。可以按照需要一式幾份，由若干正本和副本組成的，應注明“original”、“copy”字樣。
發票的末端通常有e.o.e.字樣，意為“有錯當查”，即此份發票如有錯漏允許更改。
形式發票(proformainvoice)
形式發票的用處一是類似于單方面合同，作為報價和確定交易的工具。一些國家的客戶喜歡“確認形式發票”的形式作為合同。
可以根據需要在空白處以“remark”加注的形式增加條款，比如交貨期等等，以進一步落實交易。此外，對于那些需要進口許可或外匯使用額度的交易，客戶也需要形式發票來做前期申請。
在采用國際快遞寄送貨物的時候，也需要附上形式發票，作為快遞公司統一報關計用。
5、裝箱單：
裝箱單詳細列出了每個貨物包裝箱的內容，包括商品描述、數量和包裝方式。這有助于海關檢查和貨物跟蹤。
6、運輸單據：
這包括提單（海運）、空運單（空運）、貨運單（陸運）等。它們證明貨物的所有權和貨物的裝運和交付。
7、檢驗證書：
在一些國際貿易中，特別是涉及食品、藥品和化工產品等高風險商品時，質檢證書是必需的，以保證買賣雙方的利益和消費者的安全。
在我國，這類證明一般由中國進出口商品檢驗局出具，如合同或信用證無特別規定，也可區分不同情況， 由進出口公司或生產企業出具，但應注意證書的名稱及所列項目或檢驗結果， 應與合同及信用證規定相同。
